Why Return Kits Fail for Remote Employee Offboarding

When it comes to retrieving IT equipment from remote employees, most companies turn to the familiar: send a box, slap on a label, and wait for the gear to come back. But what happens when that box never returns? As remote work becomes the norm, relying on return kits alone is becoming an outdated—and risky—solution. The Problem with Return Kits On the surface, return kits sound simple. But in reality, they introduce several risks: Delays: Former employees may procrastinate or ignore return instructions. Loss: Boxes get lost in transit or never shipped at all. Lack of Tracking: Once the kit is sent, companies often have no visibility into where the asset is—or if it will come back. Security Risk: Company laptops or phones may still contain sensitive data, especially if they aren't wiped prior to shipping. The Hidden Costs of Mailing Return Kits Not recovering a $1,500 laptop isn’t just a one-time cost, it adds up fast. Multiply that by multiple employees, and you’re facing: Equipment loss and depreciation Increased IT support time chasing returns Compliance issues if sensitive data isn’t secured Potential legal exposure from mishandled data Why Physical Pickup Is Better A professional IT asset retrieval service, like TimeSquared Concierge’s Asset Recovery team, offers a smarter solution: We go to the employee’s home and pick up the equipment in person. We document the entire process, maintaining a chain of custody from door to desk. We handle all the communication, so your HR and IT teams don’t have to chase former staff. This hands-on approach eliminates excuses, reduces loss, and ensures equipment gets returned securely and promptly. Don’t Leave Your Assets to Chance The return kit method might be convenient, but it often falls

How do you retrieve company equipment from terminated remote workers?

According to the SHRM.org article, A terminated employee has not returned company equipment. Can the employer hold the paycheck until the equipment is returned, or deduct the cost from the final pay?  “An employer cannot withhold a terminated employee's paycheck until equipment is returned.” So, what is the best solution?  Not retrieving company issued computers and other assets is not only a significant cost, but also a security concern.  Protecting the company’s intellectual property and company assets is paramount.  But what is the best method of retrieval?  Many companies are making no attempt to retrieve their assets while others are sending, pre-paid, self-addressed boxes to the terminated employees with a request for them to mail back the company assets.  However, many companies are reporting less than 40% of the equipment successfully returned through this method.   TimeSquared Concierge has launched an equipment retrieval division to recover company assets from terminated employees and deliver to remote working new hires. TimeSquared serves the entire United States. There is no set up fee and no monthly minimum. Companies are charged monthly for time spent at an hourly rate. https://www.shrm.org/resourcesandtools/tools-and-samples/hr-qa/pages/returnequipment.aspx
